Add Multiple Patrons to Event

I’m sure this question has been answered in the past, or has a quite obvious answer, but since I’m not finding it:
Is there a way to quickly add multiple patrons to an event? For example, from an external csv or possibly from a mail list?

Hi Jim,

There are many factors to take into consideration when selling a patron a ticket to an Event.

  • Do the patrons already exist in the database?
  • Does the import file contain the Patron Number to match the Theatre Manager database?
  • Are there multiple Performances within the Event and if so, which Performance is the patron to be seated in?
  • Is the Performance Reserved, General Admission or a Course?
  • If Reserved seating is being used what seat should the patron be allocated?
  • Does the Performance contain tiered seating and if so which tier should the patron be seated within?
  • Are there any Promotions that apply to the patron?
  • What Price Code and Promotion should be use?
  • How will the tickets be paid for?

In addition to this if the Performance is Reserved seating there are also social distance seating regulations to take into consideration when seating the patron in the map.

With all this in mind, directly importing patrons into an Event require a complicated set of algorithms to ensure the questions to the questions above are accurately followed. A client can work with our data archaeologist Darwin to have tickets imported into their database. Actually, the long & short of this:
We’d like to automatically add all of our season ticket holders in the system to a specific virtual event without adding them individually. Is there a simple way to do this?

  • Do the patrons already exist in the database? - Yes - they’re anyone who is a subscriber to our current season.
  • Does the import file contain the Patron Number to match the Theatre Manager database? - won’t be an import file, but if there is, then yes
  • Are there multiple Performances within the Event and if so, which Performance is the patron to be seated in? - no, just one
  • Is the Performance Reserved, General Admission or a Course? - general admission - an online event
  • If Reserved seating is being used what seat should the patron be allocated? - no
  • Does the Performance contain tiered seating and if so which tier should the patron be seated within? - no
  • Are there any Promotions that apply to the patron? - no
  • What Price Code and Promotion should be use? - none - it’s a free event
  • How will the tickets be paid for? - n/a - it’s a free event - we just want our patrons to have the option be present at our Virtual Season Announcement. This is following the model of sending out invites to a Zoom event where all a patron would need to do is to click a link and sign in. In this case, the goal is to send the link to sign in to their TM account and be taken directly to the event

Given the nature of tickets, the number of required data fields and the dependency of the financial audit trail we have not open up this area of the program for client data import. If you would like the patrons imported into a performance in the software please contact the support team and we will be happy to schedule a time to complete this work.
